Position Overview 

The Sales Administrator will act as the operational backbone of the Sales Team, ensuring smooth execution of sales processes through accurate documentation, data management, and process assurance. This role supports PiCs (account owners) by handling the commercial administration before and after deal closing, maintaining dashboards and records, and monitoring internal sales projects to keep the team on track. 

Your responsibilities: 

  1. Commercial Administration
  • Prepare, refine, and standardize sales materials (NDAs, quotations, proposals, contracts, SoWs, case studies, profiles, brochures). 
  • Track approval/sign-off flows and ensure all documents are properly stored in SharePoint/Docusign. 
  • Support PiCs in reviewing client contracts by flagging risks or missing terms before escalation. 
  • Manage the document signing process and maintain client commercial records. 
  • Support invoicing: issue invoices according to milestones, monitor payment schedules, follow up with Finance/clients for timely collections. 
  • Assist PiCs in ongoing commercial follow-up with clients post-deal (feedback collection, progress/milestone tracking, non-technical check-ins). 
  1. Data & Dashboard Management
  • Maintain and update sales dashboards, ensuring accurate reflection of pipelines, KPIs, and presales progress. 
  • Ensure CRM and SharePoint records are up-to-date: deals, proposals, contracts, invoices. 
  • Track key milestones across the sales process (proposals sent, negotiations, contract signings, invoice collections). 
  • Generate regular (weekly/monthly) reports for BD leadership. 
  • Provide process assurance by ensuring team members follow agreed presales workflows (channel creation, file storage, cost calculator usage). 
  1. Internal Process & Project Support
  • Provide scheduling support, send reminders, and prepare minutes of meetings (MoMs) for sales/internal sessions. 
  • Monitor deadlines for internal sales projects (e.g., targeted accounts lists, campaign tracking). Act as a timekeeper rather than project manager. 
  • Collect and structure recurring client and internal feedback into usable inputs for PiCs and leadership. 

The ideal candidate: 

Qualifications 

  • Bachelor’s degree in Business Administration or related field (preferred, not mandatory). 

Skills & Experience 

  • 1–3 years of experience in sales operations, sales admin, or commercial support roles. 
  • Strong organizational and coordination skills, with attention to detail. 
  • Proficiency in MS Office/Excel, CRM tools, and SharePoint (experience with dashboards and reporting preferred). 
  • Basic understanding of contracts, quotations, and invoicing workflows. 
  • Ability to track timelines, enforce process compliance, and ensure accurate data management. 
  • Good written and verbal communication skills (English proficiency is a plus).
