Your responsibilities:
The Delivery Executive / Delivery Coordinator is responsible for managing and supporting end-to-end delivery operations across multiple projects. This role ensures effective resource planning, project staffing, onboarding, performance tracking, and vendor coordination. The position works closely with Sales, Presales, Project Managers, HR, Talent Acquisition, and external vendors to ensure timely project execution and optimal resource utilization.
1. Resource Planning & Coordination
- Maintain and regularly update developer skill matrices and CV repositories for resource pools.
- Receive and manage resource requests from Sales and Delivery teams.
- Collaborate with Presales to clarify skill, experience, and availability requirements.
- Coordinate with Talent Acquisition to align hiring plans.
- Publish job openings on vendor groups and recruitment platforms such as LinkedIn, Upwork, and other sourcing channels.
2. Project Team Formation
- Input candidate and vendor resource data into internal talent management systems.
- Coordinate CV screening, technical evaluations, and interview scheduling.
- Participate in interviews and conduct English or communication assessments when required.
- Arrange mock interviews with PM/ TL
- Consolidate interview feedback, report shortlisted candidates, and finalize project teams with PMs.
3. Project Onboarding
- Support PM/TL on the first day of the project.
- Prepare required device and account lists for project onboarding.
- Coordinate with HR to complete onboarding processes.
- Collect necessary personal and professional information from new hires or contractors.
- Guide resources on internal tools, systems, and processes.
4. Performance & Timesheet Management
- Ensure all project resources accurately log work in timesheet systems.
- Coordinate with project teams and HR to reconcile client billable timesheets.
- Collect sprint-based performance feedback from PMs and TLs.
- Summarize and report performance review results
5. Vendor Management
- Build and maintain relationships with outsourcing vendors.
- Manage vendor resource pipelines and facilitate resource exchange or placement.
- Coordinate legal and contractual documentation including NDAs, MSAs, and Work Orders.
- Prepare and manage monthly vendor invoices, contracts, and appendices.
- Ensure compliance with vendor agreements and internal procurement processes.
6. Reporting & Internal Coordination
- Participate in weekly Delivery & internal team catch-up meetings.
- Prepare and submit weekly progress reports.
The ideal candidate:
Requirements & Qualifications:
- Experience in Delivery Coordination, PMO, Resource Management, or IT Operations.
- Strong coordination, communication, and stakeholder management skills.
- Experience working with cross-functional teams including Sales, Presales, PMs, HR, and TA.
- Familiarity with recruitment platforms, CV screening, and interview coordination.
- Strong organizational, documentation, and reporting abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Good English communication skills (spoken and written).
Nice to Have:
- Experience in outsourcing or service-based IT companies.
- Familiarity with Azure DevOps, timesheet, or project tracking tools.
- Experience handling vendor contracts, invoicing, and compliance documentation.
